Exporting Precision Gears: Trade Terms, Standards, Materials and Inspection
Export gear orders need DIN/ISO/AGMA grade alignment, AISI steel grades, and reports listing Fp, fpt, Fα, Fβ, Fr; PinyiGear grinds to DIN grade 3, ships GB 4-5.
A gear leaves the same production line and follows identical processing steps whether it is delivered locally or shipped overseas. What changes is the conversation surrounding the order. An international buyer rarely accepts a quotation without probing the governing accuracy standard, the inspection records, the packaging approach and the commercial conditions individually. The sections below cover the points that must normally be settled before a precision gear travels from drawing to destination.
1. Commercial and payment terms determine where cost and risk reside
Under FOB, CIF and CFR, the transfer of responsibility for ocean freight and insurance occurs at the loading port. With EXW, the buyer takes collection at the factory gate. DAP extends the seller’s obligation to the named destination. DDP further includes duty, imposing the heaviest burden on the seller.
How payment is structured usually reflects order volume and market risk:
| Specification | Detail |
|---|---|
| Small first orders | T/T in full, or 30% deposit with 70% against a copy of the bill of lading. |
| Larger first-time cooperation | an L/C at sight. |
| High-risk markets | full advance T/T. |
Resolving these matters upfront costs less than disputing them later.
2. Lock down the accuracy standard before arguing about price
Accuracy grades are not automatically interchangeable between systems. A gear called out as grade 4 in DIN 3961–3967 is also grade 4 in ISO 1328, Q14 in AGMA 2000, and grade 4 in GB/T 10095 — but a Japanese buyer will specify using JIS B 1702. Once both the grade and its standard number appear on the drawing, one round of clarification correspondence disappears.
Module, diameter, tooth count and accuracy grade follow the customer drawing. Those two figures must not be mixed up during discussions: grade 4–5 applies to volume runs, while grade 3 is a low-volume capability confirmed by inspecting every part. The contract should specify both the batch accuracy grade and the sampling rule.
3. Steel designations must be written so both sides can verify them
If a contract says only “alloy steel,” there is no basis for recourse if a question arises. Naming a grade together with its standard number resolves that. The equivalences most often encountered are listed below.
| Other designation | Chinese grade | North American equivalent |
|---|---|---|
| — | 20CrMnTi | AISI 4320 |
| DIN 1.7225 | 42CrMo | AISI 4140 |
| — | 40Cr | AISI 5140 |
| — | 45# | AISI 1045 |
Heat-treatment condition also needs numerical expression: for carburized and quenched parts, 58–62 HRC at the flank and 30–42 HRC at the core; for quench-and-tempered parts, a stated hardness range.
Module, diameter, tooth count and accuracy grade follow the customer drawing.
4. Market access rules differ more than most purchasers expect
- For the EU, CE marking is required, together with RoHS and REACH material declarations.
- The UK market requires UKCA.
- EAC and GOST apply in the CIS region, where certification typically takes two to four months.
- Japanese purchasers expect a JIS conformity statement to accompany the inspection report.
- Some Middle East projects call for SABER/SASO.
- No federal mandate exists in North America, though buyers there do ask about ISO 9001 and AGMA conformity.
PinyiGear operates under a combined arrangement: the business licence and export rights are held in-house; ISO 9001, IATF 16949 and CE come through partner manufacturing plants; and third-party testing is engaged whenever a project requires it.
5. An inspection report is judged by its line items, not its headline
A report truly worth forwarding lists total cumulative pitch deviation Fp, single pitch deviation fpt, total profile deviation Fα, total lead deviation Fβ and radial run-out Fr, with hardness recorded on a separate sheet. The gear measuring centre at PinyiGear accommodates the module range, maximum outside diameter, maximum face width and workpiece weight stated on the drawing; cumulative pitch deviation is verified against the limit stated on the drawing. On shaft diameters the CMM holds the tolerance stated on the drawing, and flank roughness at outgoing inspection is maintained at the value stated on the drawing. Documentation accompanies every shipment, so the buyer receives measured values rather than a simple statement that the parts passed.
6. Packing and freight are implicit clauses in every export order
Precision flanks are susceptible to both impact and corrosion. A rust-preventive oil film is applied to machined surfaces; VCI paper wraps ground flanks; each case contains an indicating silica gel pack; and foam keeps flank separated from flank while every part is sealed inside a PE bag.
Outer packing is banded according to weight:
- Gross weight Up to 25 kg: Twin-wall corrugated cartons
- Notes: —
- Gross weight 25 to 500 kg: Plywood cases
- Notes: No fumigation required
- Gross weight Above 500 kg: Solid-wood cases
- Notes: Heat-treated to ISPM-15, IPPC stamp, forklift pockets or lifting eyes once gross weight passes 500 kg
Volume and lead time dictate the freight mode: full-container sea freight once shipments exceed 15 CBM, LCL for smaller consignments, and air or international express for samples and urgent parts. Because ground gears are high-value items, a fair number of customers simply book air.
7. Industry developments worth noting
On 8 September 2026, CCTV News reported that mechanical and electrical product exports from China had reached RMB 12.91 trillion during the first eight months of the year — a rise of 21.9%, equal to 64% of total export value, extending a growth streak to 18 consecutive months, while industrial robot exports climbed 13% (source: CCTV News, https://news.cctv.cn/2026/09/08/ARTIDDWdZ7IRfbWmQbTwJXUW260908.shtml). As equipment exports expand, so does the need for the transmission components built into that equipment. For a gear manufacturer, the signal shows up on the drawings attached to overseas enquiries: the accuracy being requested keeps edging higher.
Closing
What ultimately determines export success is whether each of those elements — standard, material, report, packing, terms — can be stated unambiguously and then honoured in delivery. The engineering team at PinyiGear draws on 13 years of precision-gear experience (the company was established in 2021). The product range covers spur and helical gears, straight, spiral and conjugate internal bevel gears, worms and worm wheels, shafts and racks — all produced to drawing. CAD, Solidworks and KISSsoft support design and strength verification, while Caxa and Mastercam handle process planning. An order advances through drawing review, material and heat-treatment recommendation, process and quality-control proposal, and finally quotation. See dgpinyi.com.
